Duties and responsibilities:
Under the general direction of the Chief Asset Management Officer, the incumbent will perform the following duties:
- Monitor and verifies accuracy of inventory data base (Galileo)
- Monitor Data base to ensure that all Non-Expendable items that have been received in the Region are entered in the system and all records are updated by Receiving Inspection Unit correctly.
- Monitor and updates assets status changes relevant to monthly and Year End Financial reports and prepares relevant reports;
- Maintain detailed log and hard copy file of all monthly adjustments;
- Identify and correct record discrepancies in the inventory and liaises with asset holders to resolve problems, when required;
- Performs physical inspection of UN owned property and verifies whether accurate accountability of assets issued to end-users is being maintained;
- Prepare Monthly, Financial Year-End and Calendar Year End Inventory reports of non-expendable United Nations property.
- Prepares statistical inventory reports;
- Follows-up on Discrepancy Reports amendments by respective Self-Accounting Units;
- Investigates and reports on anomalies in accountability and asset control procedures and monitors their resolution;
- Reviews compilation of inventory discrepancies, prepares discrepancy reports, advises relevant Self-Accounting Units and monitors the associated reconciliation process;
- Performs other duties as tasked by Chief Assets Management Officer

- Professionalism: Knowledge of relevant UN rules, regulations, administrative procedures, policies and directives, and of inventory and control guidelines, directives and procedures.
- Planning and Organising: Effective organization skills and ability to handle a large volume of work in an efficient and timely manner.
- Communication: Ability to speak and write in a clear and concise manner.
- Technological Awareness: Good computer skills, including proficiency in using advanced functions on UN standard computer applications (eg. Lotus Notes, word processing, spreadsheets, Internet and other software applications) as well as knowledge of inventory database applications.
- Teamwork: Good interpersonal skills, ability to establish and maintain effective working relations in a multi-cultural, multi-ethnic environment with sensitivity and respect for diversity and gender.
- Commitment to Continuous Learning: Initiative and willingness to learn new skills and ability to adapt to changes in the work environment.
Qualifications:
- Academic background: High school education. A degree an asset. Technical Degree/Diploma in electronic telecommunications, computer technology or other related fields, or an equivalent educational certificate and experience in the Information Technology field. Knowledge of Assets Management computer packages an advantage.
- Relevant working experience: At least 5 years of professional experience, preferably part of it acquired in the UN system or NGO.
- Necessary skills: Ability to plan and prioritize work. A strong understanding of computer hardware. Good interpersonal skills.
- Language: Fluency in written and spoken English and Arabic.
- The following assets would constitute an advantage: Familiarity with UN system Computer systems
