Duties and responsibilities:

Under the supervision of the Supply Officer the Supply Assistant will perform the following duties:

  • Receive stores, secure and ship stock from the Region Supply Office.
  • Ensures effective and timely stock picking from approved issue vouchers for immediate delivery to the users.
  • Prepare and update all Issue Vouchers as well as physically prior to delivery of stock to customers.
  • Coordinate pick up from local vendors and delivery of supplies.
  • Organize the storage of the goods in the warehouse (or store) according to materials category, produces and applies Product Identification Number (PIN) labels.
  • Provide stock location data for Inventory.
  • Perform regular inventories in the store stocks in order to keep the data constantly updated.
  • Notify offices when orders are ready for pick-up and delivers bulk items to offices as required
  • Ensure that all reasonable measures are taken to prevent theft of stock and reports discrepancies as soon as they become known.
  • Advise the Supply Officer of any irregularities occurring in the store or warehouse.
  • Assist in managing and maintaining a comprehensive electronic database of expendable and non-expendable UN property.
  • Maintain data readings on photocopier usage as required
  • Assist or is responsible for various warehouse operations (receiving, inspection of newly arrived materials, issue verification, shelving, etc.)
  • Place and arrange stores and equipment according to established BIN locations.
  • Apply PIN labels (UNCCS # & item description) on each product.
  • Perform annual and periodic physical inventories of UN equipment and assets. Conduct daily Cycle Counts of expendables.
  • Report results of the cycle counting to the Supply Officer repeat cycle counts whenever results deviate from established tolerance margins.
  • Pack materials and prepare the necessary documents to ship within the mission area.
  • Prepare for issue a variety of supplies according to approved supply requests.
  • Maintain cleanliness of storage facility.
  • Supervise assigned staff for the assembly and delivery of furniture.

Academic Background: High school diploma or equivalent, Diploma in Stock/Finance Management. A degree an asset
Relevant working experience: A minimum of 5 years of progressively relevant experience in stock management, inventory control and warehousing.
Necessary skills: A valid category B driving license. Good physical condition and able to lift cartons weighing 30 kg.
Language: Fluency in written and spoken English and Arabic.
The following assets would constitute an advantage: completion of following courses: Fire safety and combat, First Aid, Forklift operations. Ability to handle hazardous material
