Duties and responsibilities:
Under the overall supervision of the Chief Supply section/Chief Rations Unit, the Rations Assistant will be responsible for:
- Assist in the development, review, monitoring, assessment and management of outsourced services supporting specific mission wide (and regional) operations under the purview of the Supply Section. Assist with inspections, compile reports and monitor food standards in the warehouses.
- Coordinate diverse projects in the Cell and in liaison with other services and entities as required. To coordinate all reports, process invoices for warehousing and air transport. Can assist with other supply contracts. Verifying/consolidating vendor's equipment delivery against returns.
- Assist in preparing Rations requisitions and adjustments of rations and troop strength. Assist in preparing and update data base related to requisitions, delivery and consumption of rations.
- Involves in the inspections of warehouses, equipments, vehicles and rations in the sectors, makes report on the shortages and non-availability of and specifications. Signs R & I Reports. Health and Hygiene of rations and facility inspection of UN catering and camp contracts and camps.
- Prepare inputs for the work programme of the Cell, determining priorities and allocating resources for the completion of outputs and their timely delivery.
- Plan and prepare cost estimates/ budget implications, performance reports and long-term forecasts of Mission's requirements for services.
- Ensure that accurate and complete accounting, reporting and internal control systems are functioning and that all relevant records are maintained.
- Initiate and manage the necessary administration control mechanisms to allow for proper review and auditing of services. Monitor and analyse contract performance to ensure compliance with contract terms, schedules and cost objectives.
- Any other duty from time to time.
Competencies:
- Professionalism: Proven analytical skills and willingness to accept responsibilities; ability to work independently.
- Technological Awareness: Good computer skill, including ability to design and operate common data base software, spreadsheet and project management applications and to define and extract management information or logistics support. The ideal candidate should have initiative and willingness to learn new skills and ability to adapt changes in work environment.
- Communications: Proven communication (verbal, written and presentational English) skills.
- Good Interpersonal Skills: Ability to establish and maintain effective working relations in a multi-cultural, multi-ethnic environment with sensitivity and respect for diversity and gender.
Qualifications:
- Academic Background: High school diploma or equivalent, Diploma in Stock/Finance Management. A degree an asset
- Relevant working experience: A minimum of 5 years of progressively relevant experience in stock management, inventory control and warehousing.
- Necessary skills: A valid category B driving license. Good physical condition and able to lift cartons weighing 30 kg.
- Language: Fluency in written and spoken English and Arabic.
