Under the direct supervision of the Program Manager, the incumbent ensures smooth and efficient running of the Section by providing administrative support and assistance as follows:
Duties and Responsibilities:
- Research and gather data, background materials relating to section's work plan, meetings within mission and with other UN Agencies and high level Government Officials.
- Coordinate distribution of work in the office and monitors adherence to deadlines.
- Draft correspondence in English and/or Arabic to respond to enquiries in respect to relevant administrative personnel matters and other correspondence.
- Prepare processes and follows-up on administrative arrangements and forms related to the official travel of staff in the section.
- Review, processes and follows up on actions related to administration of the Section's human resource activities, e.g. performance appraisal, training, relocation and separation of staff members and ensures consistency in the application of UN rules and procedures prior to submission to the Civilian Personnel Section.
- Schedule meetings and appointments, maintains files of administrative instructions and other rules and regulations.
- Oversee the maintenance and updates of the Section's staff data and attendance records as well as a proper electronic/hard copy filing systems.

- Planning and Organizing - Ability to plan and organize own work effectively in an efficient and timely manner.
- Commitment to Continuous Learning - Initiative and willingness to keep abreast of new developments in the administrative fields.
- Technological awareness: Ability to operate a computer with MS Word, Excel Power Point and Access and Data bases. Ability to type in English and Arabic.
Education: High school diploma, post-secondary education at college, university or specialized training institution an asset. Nature and level of specialized training should include office management/business administration and technical and communications skills
Experience: At least 6 years of experience in administration/office management with UN/NGO or other International bodies an asset.
Languages skills: Fluency in written and spoken English and Arabic.
Other skills: Demonstrated ability to apply good judgement in the context of assignments given. Fully conversant with computer operation including Word, Excel PowerPoint and Access. High level of demonstrated analytical and problem solving skills. Ability to Type accurately in English and Arabic. Demonstrated effective organizational skills and ability to handle work in an efficient and timely manner.
